CHEF SERVICE TERMS & CONDITION

TERMS, CONDITIONS & CANCELLATION POLICY

Fridge Filler & In-Home Chef Services

1. Introduction & Acceptance of Terms

These Terms, Conditions & Cancellation Policy ("Terms") govern all Fridge Filler, In-Home Cooking, Batch Cooking, Meal Preparation, Residential Chef Placement, and Retreat or Event Chef Services (collectively, "Services") provided by Aimee Victoria Long, trading as Aimee Victoria Long Services Ltd, Lucy Raetz-O’Connell and/or Omni Wellness Group Limited (together, "the Company", "we", "us", or "our") to the client named in the relevant booking confirmation ("Client", "you", or "your").

By making a booking — whether by telephone, email, an online booking form, verbal agreement, or any other means — you confirm that you have read, understood, and agree to be bound by these Terms in their entirety. These Terms form a legally binding contract between you and the Company. If you do not agree to these Terms, you must not proceed with a booking.

The Company reserves the right to update these Terms from time to time. Any amendments will be communicated to existing Clients with not less than fourteen (14) days' notice and will be posted on the relevant websites. Continued use of our Services following notice of amendment constitutes your acceptance of the updated Terms.

2. Our Services

The Company provides the following chef and nutrition-related services through its trading entities:

  • Fridge Filler Day: A single working session of six (6) hours during which an assigned chef will shop for (or use pre-purchased) ingredients, prepare a designated range of meals, snacks, sauces, and accompaniments, portion, label, and store them appropriately, and leave the kitchen in a clean and tidy condition. A Fridge Filler Day constitutes one (1) chargeable session unit.
  • In-Home Cooking: Preparation of freshly cooked meals at the Client's private residence or specified premises on a scheduled basis, tailored to the Client's dietary brief.
  • Batch Cooking & Meal Preparation: Large-scale advance preparation of meals, sauces, stocks, marinades, and components designed for storage and reheating, carried out at the Client's property.
  • Residential Chef Placements: Full-time or part-time live-in or live-out chef arrangements, including primary residences, holiday properties, yachts, or other residential settings, either domestically or internationally.
  • Retreat & Event Chef Services: Catering and meal preparation for wellness retreats, private events, corporate hospitality, and similar engagements, carried out in the UK or abroad.

All Services are delivered by trained culinary professionals employed by or sub-contracted through Aimee Victoria Long Services Ltd, Lucy Raetz-O’Connell and/or Omni Wellness Group Limited. The Company acts as principal in all engagements unless a specific agency arrangement is confirmed in writing.

3. Bookings & Confirmation

3.1 All bookings are subject to availability and are not confirmed until the Client has received a written booking confirmation from the Company.

3.2 To secure a booking, the Client will be required to pay a non-refundable deposit as stated in the relevant quotation or booking form. The deposit amount will be applied against the total service fee unless the booking is cancelled by the Client under circumstances that attract a cancellation charge (see Section 6).

3.3 Service packages, subscription plans, and Residential Placement fees must be paid in full in advance of the commencement date unless a specific payment plan has been agreed in writing.

3.4 It is the Client's responsibility to ensure that the information provided at the time of booking — including property address, access arrangements, dietary requirements, and guest numbers — is accurate and up to date. Any material changes must be communicated to the Company as soon as reasonably practicable.

4. Pricing & Payment

4.1 Service rates are set out in the Company's current price list or bespoke quotation. Prices are reviewed annually and may be updated with appropriate notice to existing Clients.

4.2 All invoices are issued electronically. Payment is due within fourteen (14) days of the invoice date unless otherwise stated. For bookings made within fourteen (14) days of the service date, payment is required in full at the time of booking.

4.3 Late payment. Invoices that remain unpaid after the due date will incur a late-payment charge of 8% per annum above the Bank of England base rate, calculated on a daily basis in accordance with the Late Payment of Commercial Debts (Interest) Act 1998. The Company reserves the right to suspend forthcoming sessions until all outstanding balances are settled.

4.4 All payments must be made by bank transfer to the Company's nominated account details as stated on each invoice. Direct cash payments to the chef or any member of the Company's team are strictly prohibited and will not be treated as satisfaction of any debt owed to the Company.

4.5 All prices are stated inclusive of VAT where applicable. The Company will clearly identify any VAT component on each invoice.

5. Ingredients & Shopping

5.1 Unless otherwise agreed in writing, the cost of ingredients is not included in the session fee and will be charged to the Client in addition. The chef will shop on behalf of the Client using agreed retailers and sources.

5.2 Prior to each session, the chef will submit a proposed shopping list to the Client for approval. Significant deviations from the approved list require the Client's prior consent except where a direct substitution of similar or lesser value is necessitated by availability.

5.3 All receipts and purchase records must be submitted to the Company within seven (7) days of the session date. Expenditure without receipts will not be reimbursed by the Client.

5.4 Ingredients purchased for the Client's exclusive use must not be used for any purpose other than the preparation of the Client's food. Personal consumption of client ingredients by the chef is strictly prohibited and constitutes grounds for immediate termination of the engagement.

5.5 If, in exceptional circumstances, the chef's total expenditure on ingredients exceeds the agreed or estimated budget by more than 15%, the Company will notify the Client as promptly as reasonably practicable. Unauthorised overspend in excess of this threshold may, at the Company's discretion, be borne by the Company rather than charged to the Client.

6. Cancellation Policy

6.1 Standard cancellation. The Client may cancel or reschedule a confirmed session without charge provided that written notice is received by the Company no less than seventy-two (72) hours before the scheduled start time of the session. Written notice includes email to aimee@aimeevictorialong.co.uk or via the Company's designated booking system.

6.2 Late cancellation (under 72 hours). If the Client cancels or requests to reschedule a session with less than seventy-two (72) hours' but more than twenty-four (24) hours' notice, the full session fee will be charged and is payable in accordance with Section 4.

6.3 Very late cancellation (under 24 hours). If the Client cancels or fails to facilitate the session with less than twenty-four (24) hours' notice, the following charges will apply:

  • The full session fee; and
  • The cost of any ingredients already purchased or ordered on the Client's behalf that cannot be returned, cancelled, or otherwise recovered. The Company will provide an itemised statement of such costs within five (5) business days.

6.4 No-show. If the chef arrives at the agreed location at the agreed time and is unable to gain access or commence the session due to circumstances within the Client's control, this will be treated as a cancellation with less than twenty-four (24) hours' notice, and the charges set out at clause 6.3 will apply in full.

6.5 Company cancellation. In the rare event that the Company must cancel a confirmed booking, the Client will receive as much notice as practicable and will be offered an alternative session at a mutually convenient time at no additional charge. If no suitable alternative can be agreed within thirty (30) days, a full refund of any session fee paid in advance will be issued.

6.6 Force majeure. Neither party shall be in breach of these Terms nor liable for any failure or delay in performance caused by events outside their reasonable control (including but not limited to acts of God, extreme weather, civil unrest, pandemic, or government restriction). In such circumstances, the Company will issue a credit note for the value of the affected session, valid for twelve (12) months

7. Regular & Subscription Services

7.1 Where the Client engages the Company on a rolling weekly, fortnightly, or monthly basis ("Regular Service"), these Terms apply to all sessions within that arrangement unless a separate service agreement is provided.

7.2 Cancellation of regular arrangement. Either party may bring a Regular Service to an end by providing not less than thirty (30) days' written notice. Sessions booked and confirmed within the notice period remain payable in accordance with these Terms.

7.3 Pausing a regular arrangement. A Client may request a temporary pause of a Regular Service by providing not less than seven (7) days' written notice. Pauses of up to four (4) consecutive weeks are permitted within any twelve-month period without penalty. Sessions scheduled within the seven-day notice period cannot be paused and remain chargeable.

7.4 The Company will endeavour to complete the final confirmed session within the notice period unless the Client requests otherwise.

8. Refund Policy

8.1 General position. All deposits and advance payments are non-refundable except in the specific circumstances described below.

8.2 Refunds or credits will be issued in the following limited circumstances:

  • Company cancellation with no suitable alternative offered within 30 days (full refund of sums paid for the affected session);
  • Serious illness or medical incapacity of the Client, evidenced by a valid medical certificate issued by a registered medical practitioner, preventing the Client from receiving the service — a pro-rata credit note will be issued for unused pre-paid sessions;
  • Any refund required by law under the Consumer Rights Act 2015 or other applicable statutory provisions.

8.3 Refunds will be made by bank transfer to the Client's nominated account within fourteen (14) business days of the Company confirming the refund.

8.4 Discretionary goodwill credits may be issued at the Company's sole discretion and do not create a precedent or obligation for future refunds.

9. Dietary Requirements & Allergen Management

9.1 Client disclosure obligation. Before the first session — and immediately upon any change — the Client must disclose in writing all known food allergies, intolerances, medical dietary requirements, preferences, and any medications or health conditions relevant to food preparation for all persons who will consume food prepared under these Terms.

9.2 The Company accepts no liability for adverse reactions, allergic responses, or dietary harm resulting from the Client's failure to disclose, or delayed disclosure of, any allergy, intolerance, or dietary requirement.

9.3 Cross-contamination. The Company will take reasonable and proportionate steps to reduce the risk of cross-contamination between allergens. However, the Client acknowledges that kitchen environments may contain traces of common allergens (including nuts, gluten, dairy, eggs, and others) and that absolute elimination of cross-contamination risk cannot be guaranteed.

9.4 All prepared and stored food will be clearly labelled with its contents, date of preparation, and recommended storage and consumption instructions.

10. Food Safety & Hygiene

10.1 All chefs operating under these Terms hold a minimum of a Level 2 Award in Food Safety in Catering (or equivalent) and comply with all applicable food safety legislation, including the Food Safety Act 1990, the Food Safety and Hygiene (England) Regulations 2013, and the Food Information Regulations 2014.

10.2 The chef will operate at all times in accordance with HACCP (Hazard Analysis Critical Control Point) principles and good food hygiene practice.

10.3 Upon completion of each session, the chef will leave the kitchen in a clean, tidy, and hygienic condition, with all surfaces wiped down, equipment cleaned, and waste disposed of appropriately in the receptacles designated by the Client.

10.4 The Client must ensure that the kitchen, equipment, and storage facilities are in a condition that permits safe food preparation. The Company reserves the right to decline to commence or continue a session if the kitchen environment is assessed as unsafe or non-compliant with food safety standards.

11. Client Property & Home Access

11.1 The Company's personnel will treat the Client's property, equipment, furnishings, and personal belongings with the utmost care and respect at all times.

11.2 Any access codes, key safe combinations, alarm codes, entry fob details, or security information provided by the Client will be held strictly confidential, stored securely, used solely for the purpose of fulfilling the Services, and will not be disclosed to any third party.

11.3 No third parties other than the Company's own employed or sub-contracted personnel (who are bound by confidentiality obligations) will be admitted to the Client's property without the Client's prior written consent.

11.4 In the event of any accidental damage to the Client's property caused by the Company's personnel during a session, the Client must notify the Company in writing within forty-eight (48) hours. The Company will investigate and, where the Company's liability is established, will arrange for repair or reasonable compensation at the Company's cost.

11.5 The kitchen and relevant areas will be left in the same condition or better than found at the commencement of the session.

12. Health & Safety

12.1 The chef retains the right to decline to continue working in any environment that presents an unreasonable risk to their health, safety, or welfare. This includes environments with aggressive or dangerous animals, structural hazards, or any conditions that make safe food preparation impossible. In such circumstances, the session fee remains payable.

12.2 Any accident, incident, or near-miss occurring on the Client's premises during a session will be reported to the Company by the attending chef within twenty-four (24) hours and recorded in the Company's incident log.

12.3 The Company maintains appropriate public liability insurance. Details are available to Clients upon written request.

12.4 In the event of a medical emergency during a session, the chef will take reasonable first-aid measures and contact the emergency services as appropriate. The Client will be notified as soon as practicable.

13. Photography & Media

13.1 The chef and all Company personnel are strictly prohibited from filming, photographing, or capturing any images of the Client's private home, personal belongings, family members, guests, or any confidential information visible within the property, without the Client's prior written consent.

13.2 The Company may, with the Client's prior written consent, photograph or film prepared food, finished dishes, or table presentations for use in the Company's marketing materials, social media, website, and portfolio. Any such consent may be withdrawn by the Client at any time by written notice, following which the Company will not use any newly captured images and will, upon request, remove previously published images featuring the Client's premises.

13.3 The Client must not photograph, film, or record any chef or Company personnel without their prior written consent.

14. Confidentiality & Data Protection

14.1 All information relating to the Client, including personal details, dietary requirements, health information, home addresses, access codes, household routine, and family composition, will be treated as strictly confidential and will not be disclosed to any third party without the Client's explicit consent, except where required by law.

14.2 The Company processes personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. Our full Privacy Notice is available at www.aimeevictorialong.co.uk.

14.3 Personal data is collected and processed solely for the purpose of delivering the Services, maintaining records as required by law, and communicating with the Client in connection with their booking. We do not sell, rent, or share personal data with third parties for marketing purposes.

14.4 Clients have the right to request access to, correction of, or deletion of their personal data at any time by contacting aimee@aimeevictorialong.co.uk. The Company will respond to all such requests within thirty (30) days

15. Intellectual Property

15.1 All recipes, menu plans, meal programmes, cooking methodologies, preparation techniques, and related written materials created by the Company's chefs in the course of providing the Services remain the exclusive intellectual property of the Company, notwithstanding that they may have been tailored to the Client's specific preferences.

15.2 The Client is granted a personal, non-transferable licence to use the recipes and meal plans prepared for them for their own domestic and personal use. The Client may not reproduce, distribute, publish, sell, or otherwise make commercially available any such materials without the prior written consent of the Company.

15.3 Any feedback, ratings, or suggestions provided by the Client regarding recipes or services may be used by the Company to improve its offerings without obligation of compensation.

16. Client Conduct

16.1 The Client agrees to treat the Company's personnel with courtesy, dignity, and respect at all times. Behaviour that is abusive, threatening, discriminatory, harassing, or otherwise inappropriate will not be tolerated.

16.2 The Company reserves the right to withdraw its services immediately and terminate the engagement, with all outstanding fees remaining payable, in the event of conduct by the Client or any person at the Client's property that breaches this clause.

16.3 The Client is responsible for ensuring that the working environment is safe for the chef, including but not limited to securing pets that may pose a risk, keeping children away from active cooking areas, and ensuring that third parties present at the property behave appropriately towards Company personnel.

17. Liability

17.1 The Company does not seek to exclude or limit its liability for death or personal injury arising from its own negligence, fraud, or fraudulent misrepresentation, or any other liability that cannot be excluded or limited by applicable law.

17.2 Subject to clause 17.1, the Company's total aggregate liability to the Client arising from or in connection with these Terms and the Services, whether in contract, tort (including negligence), breach of statutory duty, or otherwise, shall not exceed a sum equivalent to three (3) months' fees paid by the Client to the Company in the twelve (12) months immediately preceding the event giving rise to the claim.

17.3 The Company shall not be liable for any indirect, consequential, special, or economic loss including loss of profit, loss of opportunity, or loss of anticipated savings arising out of or in connection with the provision of the Services.

17.4 The Company accepts no liability for adverse reactions, illness, or harm resulting from allergies or intolerances that were not disclosed, or were inadequately disclosed, by the Client prior to and during the provision of the Services, as further detailed in Section 9.

17.5 The Client is solely responsible for ensuring that pets, children, and household members are kept at a safe distance from active cooking and food preparation areas during sessions. The Company accepts no liability for accidents involving persons or animals that enter active food preparation zones without the chef's knowledge.

18. Amendments & Force Majeure

18.1 The Company reserves the right to amend these Terms at any time. Clients will be notified of any material amendment by email no less than fourteen (14) days before the amendment takes effect. If you do not accept the amended Terms, you must notify the Company in writing within the notice period; continued use of the Services constitutes acceptance.

18.2 Force majeure. Neither party shall be liable for any failure or delay in performance arising from causes beyond their reasonable control, including acts of God, fire, flood, severe weather, pandemic, epidemic, government lockdown, industrial action, or infrastructure failure. In such circumstances, the affected party shall notify the other as soon as reasonably practicable and the parties shall use reasonable endeavours to mitigate the impact. The Company will issue a credit note to the value of any prepaid session affected by a force majeure event, valid for twelve (12) months.

19. Governing Law & Disputes

19.1 These Terms and any dispute or claim arising out of or in connection with them (including non-contractual disputes or claims) shall be governed by and construed in accordance with the law of England and Wales.

19.2 The parties agree that the courts of England and Wales shall have exclusive jurisdiction to settle any dispute or claim arising out of or in connection with these Terms.

19.3 In the event of any dispute, the parties agree to first attempt resolution by good-faith negotiation. If the matter is not resolved within thirty (30) days, either party may refer the dispute to a mutually agreed mediator before commencing legal proceedings.
